About the Pittsburgh Food Policy Council (PFPC)
The Pittsburgh Food Policy Council works to build a food system that benefits our communities, economy, and environment in ways that are just, equitable, and sustainable. Driven by community-led solutions, PFPC brings together government, nonprofit, business, academic, and agricultural partners to strengthen the regional food system and implement the Greater Pittsburgh Food Action Plan (GPFAP).
The PFPC advances priorities related to food production, distribution, access, justice, and community development. Through collaboration, convening, communications, and policy advocacy, PFPC aligns efforts across Southwestern PA to create a more equitable regional food system.

About the 2026 Regional Food Systems Summit
The Regional Food Systems Summit is PFPC’s signature annual convening, bringing together 100 - 150 stakeholders from across the food system, growers, community leaders, nonprofits, government partners, advocates, funders, and residents.
The 2026 Summit will be scaled and intentionally designed around 4-5 high-quality sessions, directly aligned with the priorities of the Greater Pittsburgh Food Action Plan and PFPC’s working groups. The event will include one keynote speaker, networking opportunities, and curated moments that elevate community voice and regional collaboration.
Summit goals include:
Celebrate regional leaders and collaborative success
Learn about food system strengths, gaps, and opportunities
Affirm lived experience and inclusive food systems practices
Act by providing tools, resources, and connections
Scope of Work
The Event Planner will collaborate with PFPC staff and the Summit Planning Committee to execute high-level planning, coordination, and event production.
Estimated hours: 80–120 hours across January–May 2026 (bidders should propose their own cost).
Tasks:
Define event concept, flow, and expectations with PFPC staff
Develop content and session framework (4–5 sessions)
Shape the Summit’s look, feel, and experience in alignment with PFPC values
Confirm event date
Establish working budget and logistical needs
Identify potential subcontractors (catering, printing, audio/visual, photography, etc.)
Develop a list of potential venues
Conduct venue outreach, meetings, and site tours
Collect quotes and logistical details
Analyze and compare venue options (features, benefits, challenges, contract terms)
Recommend final venue to PFPC staff
Develop a list of potential keynote speakers and session presenters
Coordinate outreach, inquiries, scheduling, volunteers and logistics
Present updates to PFPC staff and leadership
Gather feedback and adjust planning as needed
Collaborate with PFPC staff to finalize the event’s 4 - 5 core sessions
Desired Qualifications
Proven experience coordinating large-scale events
Strong communication and interpersonal skills
Strong time and project management skills
Familiarity with Pittsburgh-area venues, vendors, and community organizations (preferred)
Experience working within or alongside nonprofits (preferred)
Knowledge of food systems or equitable community-based work (preferred)
Proficiency in Google Suite and Microsoft Office
